Notice: This is a paid role, for a finance professional undertaking work in a professional capacity.

Nine Worlds is a small company registered in England and limited by shares, with a turnover of around £100K. Its sole activity is the running of the annual Nine Worlds Geekfest, which takes place in early August, and the majority of transactions take place in the period immediately around this time. It is registered for VAT under the flat rate scheme.

You will replace our existing finance officer, who has kept the company's books on Xero since the event started in 2013, and who together with our accountant will have closed off our books for 30th September year end. She will be available for hand over and transitional support.

We need someone to enter and reconcile transactions in Xero, which include invoices, payments, and receipts. This may require chasing other organisers for invoices and backup documents. Income will need to be reconciled monthly from the ecommerce system download back to receipts in our bank account from payment processors, to produce monthly reporting and file the quarterly VAT returns. Generally, you will need ensure everything is entered accurately and completely into Xero for our accountant to produce the yearly accounts. With agreement, we may also look to delegate responsibility for invoices and setting up payment runs.

Necessary

Professional bookkeeping experience and a relevant qualification are essential.

Desirable

  • Experience with Xero.
  • Experience with events finance.
  • Experience in producing MI reports.
  • Understanding of barriers to inclusion faced by marginalised groups - Membership of a marginalised or disadvantaged group counts as lived experience.
  • Experience with Slack, Trello and Google Apps - Introductory training can be provided if necessary.
  • Regular access to an internet-connected computer - All of our organising is carried out on-line, partly from necessity as it's difficult to get everyone in one place.

This is a freelance position, as the hours and work requirement would not match to a salaried role. We estimate that fulfilling the role will take around half a day each month, at a rate of £25 / hour. The rate of pay was decided through informal survey of freelance rates on offer in the wider market, which tend to cluster around £20-25. We will need proof of qualifications and references prior to making final appointment.
